Who we are
Applymind is an AI-powered job search and application platform operated by Orzyn, a software company registered in India. Our platform is accessible at applymind.ai. You can contact us at privacy@applymind.ai.
What data we collect
We collect the minimum data necessary to provide our service. This includes:
- Account data: Your name, email address, and profile photo provided by Google when you sign in.
- Profile data: Career information you voluntarily enter during onboarding — work history, skills, education, and job preferences. This data is used solely to generate tailored resumes and personalise job searches.
- Google OAuth tokens: Access and refresh tokens for Google Drive and Gmail, stored encrypted in our database. These are used only to save resumes to your Drive and send application emails from your Gmail account on your behalf.
- Usage data: Credit transaction logs, job search history, and application status records associated with your account.
- Technical data: IP address, browser type, and device information collected automatically for security and fraud prevention.
What we do not collect
- We do not store your resume files — they are saved directly to your Google Drive.
- We do not read or store the content of your Gmail inbox beyond what is necessary to detect application status updates from companies you have applied to.
- We do not sell, rent, or share your personal data with third parties for advertising or marketing purposes.
- We do not use your data to train AI models.
How we use your data
- To provide and improve the Applymind service
- To generate ATS-optimised resumes using your profile information
- To search for job listings matching your preferences
- To send job application emails from your connected Gmail account
- To detect replies from employers and update your application status
- To process payments for credit purchases
- To send transactional emails related to your account
Legal basis for processing (GDPR)
For users in the European Economic Area, we process your data under the following legal bases:
- Contract performance: Processing necessary to provide the service you signed up for.
- Legitimate interests: Security, fraud prevention, and service improvement.
- Consent: Where you have explicitly granted permission, such as connecting your Google Drive and Gmail.
Data storage and security
Your data is stored on servers provided by Supabase, hosted on AWS infrastructure in the Asia-Pacific region. We implement industry-standard security measures including encryption at rest and in transit, row-level security policies ensuring users can only access their own data, and regular security reviews. Google OAuth tokens are encrypted before storage.
Data retention
We retain your data for as long as your account is active. If you delete your account, all personal data is permanently deleted within 30 days. Credit transaction records may be retained for up to 7 years for tax and legal compliance purposes, in anonymised form where possible.
Your rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of all data we hold about you.
- Correction: Update or correct inaccurate data through your profile settings.
- Deletion: Request deletion of all your data via our data deletion page.
- Portability: Request your data in a structured, machine-readable format.
- Objection: Object to processing based on legitimate interests.
- Withdrawal of consent: Disconnect Google Drive or Gmail at any time from your settings.

Third-party services
We use the following third-party services to operate Applymind:
- Anthropic Claude API: Powers AI features including job search, resume generation, and email drafting. Your profile data is sent to Claude's API to generate personalised content. Anthropic's privacy policy applies to this processing.
- Google APIs: Drive API for resume storage and Gmail API for sending and reading emails. Google's privacy policy applies.
- Supabase: Database and authentication infrastructure.
- Razorpay: Payment processing for users in India. Razorpay's privacy policy applies to payment data.
- Stripe: Payment processing for international users. Stripe's privacy policy applies to payment data.
- Vercel: Hosting and deployment infrastructure.
Cookies
We use essential cookies only — session cookies required for authentication and security. We do not use advertising or tracking cookies. For full details, see our Cookie policy.
Children's privacy
Applymind is not directed at children under 16. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact privacy@applymind.ai and we will delete it immediately.
Changes to this policy
We may update this policy periodically. We will notify you of significant changes by email or by displaying a notice on the platform. Continued use of Applymind after changes constitutes acceptance of the updated policy.
